ClinicalBuddy ("we," "us," "our") provides a Chrome extension to help healthcare professionals quickly read and navigate clinical information on third‑party websites (for example NICE CKS or PubMed). This privacy policy explains how the ClinicalBuddy Chrome extension handles your data. It does not describe any separate web applications or services.

1. Introduction

The ClinicalBuddy Chrome extension is designed to sit in your browser's side panel and summarise content from clinical web pages you choose to view. When you open the extension on a page, it briefly sends that page's text to our servers to generate a summary and highlights. We do not use the extension to run advertising, track your browsing history across the web, or build marketing profiles about you.

  • Extension: The ClinicalBuddy Chrome browser extension that summarises and highlights clinical web pages in a side panel.
  • User: Healthcare professionals or other individuals using the ClinicalBuddy Chrome extension.
  • AI Service: The third‑party artificial intelligence provider we use to generate summaries and other outputs (currently OpenAI).
  • Page Content: The text content of the web page you have open in your browser tab when you explicitly open the extension and request a summary.

4. Data We Collect

4.1 Data the extension sends when you use it

  • Page URL and title of the tab where you open the extension.
  • Page content: the visible text from that page which is needed to generate a summary and highlights.
  • Extension settings: the mode you choose (for example Red flags, Management, or Rx) and basic options related to how summaries are displayed.

The extension is not designed for entering identifiable patient records. Please avoid typing identifiable patient information into any free‑text fields.

4.2 Technical and log data

  • Basic technical information such as IP address, browser type, and error messages when something goes wrong.
  • Minimal request logs (for example timestamp, endpoint, and response status) to help us operate the service and diagnose issues.

We do not use this technical data to build marketing profiles or to track your activity across unrelated websites.

5. How We Use Your Data

5.1 Primary purposes

  • Generating summaries, highlights, and structured outputs from the page content you choose to send via the extension.
  • Displaying those summaries and highlights back to you in the Chrome side panel.
  • Monitoring performance, stability, and security of the extension and supporting API.

5.2 Legal bases for processing

  • Legitimate interests: Operating and improving the extension for healthcare professionals, including fixing errors and preventing abuse.
  • Consent: Where you explicitly choose to enable any optional features in the future (we will explain those clearly at the time).

6. AI Processing and Third-Party Services

When you open the extension on a page and request a summary, we send the relevant page content to our backend and then to a trusted AI provider (currently OpenAI) so that it can generate the summary and bullet points you see in the side panel.

We limit what is sent to what is necessary to provide the summary and do not allow the AI provider to use this content for their own advertising or unrelated profiling. We do not share your data with data brokers or advertisers.

7. International Data Transfers

Where data is transferred outside the UK or EU (for example, to AI providers or cloud infrastructure located in the United States), we use appropriate safeguards such as Standard Contractual Clauses (SCCs), data minimisation, and technical security measures to help protect your data.

8. Your Rights (for the Chrome extension)

Depending on your jurisdiction, you may have certain rights over your personal data in relation to how the ClinicalBuddy Chrome extension processes it. Because the extension does not create accounts or long‑term profiles, these rights mainly relate to any logs or technical data we hold.

  • Requesting deletion of your data (subject to legal duties)
  • Objecting to or restricting certain types of processing

9. Data Security

We use appropriate technical and organisational measures to help protect data processed by the ClinicalBuddy Chrome extension. This includes encryption in transit between the extension and our backend, access controls on our systems, and monitoring for unusual activity. While no system can be completely secure, we work to reduce risk and respond quickly to potential issues.

For the Chrome extension, we aim to keep data only for as long as needed to provide summaries and maintain the reliability and security of the service.

  • Page content used for summarisation is processed in order to generate the response and is not kept longer than necessary for that purpose, other than in short‑lived logs for debugging and security.
  • Technical logs (such as error logs and basic request metadata) are typically retained for a limited period to support security, troubleshooting, and abuse prevention, after which they are deleted or anonymised.

11. Changes to This Policy

This privacy policy applies specifically to the ClinicalBuddy Chrome extension. We may update it from time to time—for example, if we change how the extension works or add new features. When we make material changes, we will update the "Last Updated" date at the top of this page and, where appropriate, provide additional notice (for example via the extension listing or our website).
